Passport Application

IMPORTANT

  1. All passport applications must be made on the Department of Immigration Services page www.ecitizen.go.ke. You will have to enter your ID card number to be able to register on eCitizen and then apply for the passport on the Department of Immigration Services page. 
  2. In order to register successfully, a verification code will be sent on the number you enter. Currently, the codes are only sent to Kenyan mobile phone numbers that have never been registered on eCitizen. You must therefore enter an active Kenyan number on the telephone number field (you can enter the number of a relative or friend who has never held a passport). Kindly note that the codes expire if not entered immediately.
  3. Please ensure you have read and understood the guidelines and requirements both on www.ecitizen.go.ke and those listed below before submitting your application. 
  4.  Applicants who hold a manual passport should apply for a REPLACEMENT on eCitizen and NOT for a NEW PASSPORT! 
  5. When entering foreign alphabet letters, e.g. Ä,Ö,Ü, these letters should be anglicized to AE, OE and UE. There should not be any commas or any other symbols on the application entries.
  6. Your ePassport photo will be captured at the Embassy. The 3 photos stated on the checklist are for file purposes only. Ensure that you appearance on the day adheres to the photo guidelines on the checklist.
  7. Applications for passports are accepted between 9.30hrs-13.00 hrs. (Monday – Friday) by Appointment only.
  8. New passports or replacement of passports are applied through e-citizen portal (www.ecitizen.go.ke) You will require to download and print out the form at the end, sign, date the form and attach the required documents. Thereafter make an appointment through Kenya Embassy Berlin through immigration2@kenyaembassyberlin.de or passport@kenyaembassyberlin.de and submit your documents in person at the Consulate for biometric capture.
  9. Passport fees:
    34 pages Ordinary “A” series – Ksh. 7,550
    50 pages Ordinary “B” series – Ksh. 9,550
    66 pages Ordinary “C” series – Ksh. 12,550
    50 pages Diplomatic Passport – Ksh. 15,050
    Mutilated passport – Ksh. 20,050
    Lost Passport – Ksh. 20,050
  10. Documents uploaded should be picture format (jpeg/jpg)
  11. Persons born before 27th August 1987 and have acquired citizenship of other countries before promulgation of Kenya Constitution on 27th August 2010 will be required to provide proof of having regained and declared Kenya Citizenship.
  12. Dual Citizens are required to declare their other nationality prior to renewing Kenya passports.
  13. Those required to apply to regain Kenya citizenship are expected to await completion of the regaining process.
  14. Note that Birth Certificate Entry. No. is the number that appears on the left-hand side of the birth certificate above the date of birth.
  15. Persons born abroad must apply and obtain a Kenya born abroad birth certificate first. A copy of the Foreign Birth certificate is to be submitted as well.
  16. Please provide your current email address and a telephone contact in all your applications
  17. Passport applications without complete requirements will not be processed. Please ensure all the requirements are met.
  18. All minors must be accompanied by a parent or legal guardian.
  19. You cannot make any corrections or edit your ePassport application once you have submitted it. Ensure therefore that all your details are correct before submitting the final data online.
  20. The Embassy does not issue temporary passports.
  21. It is important to start the process of replacing your passport 6 months before expiry, in order to have a valid passport by the time your residence permit or old passport is set to expire.
  22. Caution: Passports are valuable documents and should not be altered in any way or allowed to pass into possession of unauthorized person. If lost, withdrawn or destroyed the fact and circumstances should be immediately reported to the Kenya Embassy and the local police. Under such circumstances, new passports can only be issued after exhaustive enquiries have been done.

Requirements for New Passport Applications; a minor (Below 18 years)

If you are the holder of a valid Kenyan passport or your child was born while you are still a Kenyan, you can apply for a passport for your child by filing the relevant application on eCitizen. 

Children who have other nationalities must provide the passport of the other nationality too when applying for the Kenyan passport. If the passport of the other nationality is not available, you will have to provide proof from the other country stating that the child does not hold a passport of that country.

The application must be accompanied by the International Birth Certificate of the child that has been certified by the issuing authority

  1. Original and a copy of Identity Card (applicants over 18 Years Old) accompanied with Copies of parents’ Kenyan IDs.
  2. A copy of Parent/Parents passports
  3. A copy of Germany’s Residence Permit/Visa of child and parents’
  4. A copy of the Father’s / Mother’s Kenyan Birth certificate where applicable
  5. Additional documentary proof of Kenya citizenship may be required if necessary. Certificate of Registration if Kenyan by registration.
  6. Copy of residence permit/certificate of Naturalisation/proof of either having regained Kenya citizenship and or Declared Kenya citizenship for Dual Citizens.

Requirements for Replacement of Passport

  1. A duly filled application form
  2. Old Passport and a copy
  3. Original ID and copy (over 18 years old applicants)
  4. Copy of birth certificate
  5. Copy of certificate of Registration if Kenyan by registration.
  6. Duly filled consent form for minors 
  7. Two (2) payment invoices
  8. Copy of residence permit/ certificate of Naturalization/Registration/ proof of either having regained Kenya citizenship and or Declared Kenya citizenship for Dual Citizens

 

Requirements for Mutilated/ Damaged Passport

  1. A duly filled application form
  2. Old Passport and a copy
  3. Copy of birth Certificate
  4. Copy of Registration certificate if Kenyan by registration
  5. Original and copy of Kenyan ID (over 18 years old applicants)
  6. Duly filled consent form for minors
  7. A letter explaining circumstances for the damage
  8. Two (2) payment invoices
  9. Copy of residence permit/ certificate of Naturalisation/proof of either having regained Kenya citizenship and or Declared Kenya citizenship for Dual Citizens.

Requirements for Lost Passport

  1. A duly filled application form
  2. Copy of lost passport or a previously issued passport
  3. Copy of birth certificate 
  4. Original and copy of ID (over 18 years old applicants)
  5. Copy of registration certificate if Kenyan by registration
  6. Duly filled consent form for minors
  7. Police report on the loss of passport
  8. Affidavit explaining circumstances for loss
  9. Copy of residence permit/ certificate of Naturalisation/proof of either having regained Kenya citizenship and or Declared Kenya citizenship for Dual Citizens.

Requirements for Change of Name in Passport

Kenyans who require to change name in the passport as a result of marriage, divorce or deed poll should apply for a new passport.

Name change as a result of marriage should provide a copy of marriage certificate. (if foreign issued, to be duly certified by a Notary, Solicitor or Commissioner for Oaths).

If any partner had a previous marriage, proof of divorce.

Other name change, provide a Deed Poll (document prepared and registered at the Registrar of documents in the Ministry of Lands, Nairobi) and a copy of Kenya Gazette Notice effecting name change.

Other amendments: correction of date of birth, place of birth etc., forward a copy of birth certificate (both sides) that was used to acquire the passport) and the original expired passport if any.

HOW TO BOOK A BIOMETRICS APPOINTMENT

Once you have successfully filled in the relevant passport application and paid for it online, upload the eCitizen-generated application PDF form and upload it on the required field together with other required uploads. It is only after uploading the required documents that you should book an appointment through  immigration2@kenyaembassyberlin.de or passport@kenyaembassyberlin.de 

It will take 2-3 business days to receive a feedback and you will be required to select a date from the options the embassy will email you.  

Ensure that you arrive on time for your appointment and with the correct requirements for the smooth processing of your application.

DURATION OF PROCESSING

The ePassport is processed in Kenya and sent back to the Embassy within 4-6 weeks. There are cases that can take longer due to several factors. 

Once your passport is received in Berlin, the notification RECEIVING will appear on your eCitizen account when you click on the submitted application.

HOW TO RECEIVE YOUR NEW PASSPORT AFTER BIOMETRICS

APPLICANTS FROM GERMANY

Your epassport will be posted to you via DHL. Send the following to the Embassy via secured mail:

  1. Your current passport 
  2. A photocopy of the Photo Token receiptyou received on the day of biometrics
  3. For sending the passports back to you: 1 DHL EXPRESS DOMESTIC End of Day shipping label  for Germany (click here to access it). Buy this exact shipping label online and ensure you have entered the shipping details FROM: Embassy/ TO: You.

SELECT EXPRESS ENVELOPE PACKAGING. DO NOT SCHEDULE PICKUP AND PAY VIA THE ONLINE PAYMENT OPTIONS AVAILABLE 

  1. An A4-size padded envelope with the DHL shipping/transport label stuck on it.

PASSPORTS WILL NOT BE DISPATCHED TO CLIENTS USING ANY OTHER METHOD EXCEPT THROUGH DHL EXPRESS AS CLEARLY STATED.

Insert all of the 4 items above into another envelope and send to the Embassy via DHL.

APPLICANTS FROM OUTSIDE GERMANY

You should send the following to the Embassy via any courier service of your choice: 

  1. Your current passport
  2. A photocopy of the Photo Token receiptyou received on the day of biometrics
  3. For sending the passports back to you: 1 DHL EXPRESS ENVELOPE End of Day shipping label for your country (click here to access it). Buy this exact shipping label online and ensure you have entered the shipping details FROM: Embassy/ TO:  You.
